AOL has established a corporate-wide initiative to improve the effectiveness with which it procures and utilizes key materials and services. A result of this initiative was that AOL needed to streamline its processes for the procurement and installation of physical host and network assets in all of its data centers.

AOL had deployed a robust workflow management tool, Mercury IT Governance (ITG), but needed to supplement the capabilities of this workflow tool by integrating a mobile barcode-scanning capability that enabled workers on the data center floor to execute workflow and track tasks without the need to return to a desktop PC to enter the data manually.

Prior to installing MobileFrame software, the system in use by AOL had no scanning or mobile interface and failed to meet the business needs of the organization in the following respects:

1. No Provision for a scanning interface that could read barcode (Code 128) information from an asset and trigger workflow in AOL's ITG workflow management tool.
2. No Provision for a scanning interface that could be used on the data center floor to retrieve real-time asset information.
3. No Provision for a mobile interface/application with that would report the status of tasks in progress on the data center floor.
4. No Provision to print labels remotely.


MobileFrame Solution

The MobileFrame solution allowed AOL's 1,000 full-time Operations Employees located in all five data centers to automate their unique field service inventory management and asset tracking processes, including the backend integration to Mercury with a single code free mobility platform. Using MobileFrame software, AOL was able to quickly create and integrate a custom mobile scanning software solution with ITG, embed complex workflow and business process logic in the application and deploy the application directly to personnel in the field.

This solution dramatically improved the efficiency of Infrastructure Services personnel who interact with the ITG workflow application and hardware on the data center floor. This mobile solution also improved visibility into the progress of a particular piece of hardware and/or order since location scans occur throughout the process.

MobileFrame's solution provided the following benefits that met all of AOL's stated objectives:

1. Eliminated trips back and forth between PC workstations and hardware on the floor to enter asset tracking data.
2. Eliminated data input errors that occur when manually typing asset identities into a PC database.
3. Provided a mobile interface/application to keep track of outstanding Infrastructure Services tasks on the data center floor.
4. Provided instant insight into hardware information (location, status) by scanning its asset tag.
5. Improved operational efficiencies and SLA's throughout the organization.
6. Reduced operational costs.

Using MobileFrame software, AOL was able to quickly create and deploy an electronic version of their Inventory Order and Asset Tracking to Operations personnel in the field. Now, as Operations personnel complete the Inventory Order, barcode scans of the inventory are automatically captured and embedded in the workflow. Operations personnel can also capture photographs and sketches of items, record voice notes, capture electronic signatures and print signed copies of Orders and bar codes in the field. All Inventory and Asset Tracking Orders are synchronized from the field and automatically updated in AOL's back office ITG system. This results in greatly improved efficiency, and immediately enhances the company's bottom line.
